Replacing Thin Clients Across 25+ Branch Offices

25+ offices. 250+ devices. Full chain of custody.

A phased, site-specific rollout that swapped out outdated thin clients across more than two dozen branch and satellite offices, with compliant data-wipe and disposal documentation on every device that came out.

01Situation

25+ dispersed branch and satellite offices were running outdated thin clients that needed replacing for VDI performance, security, and compliant disposal.

Every device coming out of service carried real risk if it wasn't wiped and disposed of correctly: NIST 800-88, GDPR, and CCPA all had a say in how that had to happen, on top of the hardware refresh itself.

And it wasn't a single rollout. It was 25+ of them, each with its own local hours, technician availability, and blackout periods to work around.

Why it mattered

This wasn't just an IT swap. Finance, Procurement, Facilities, Legal, and outside vendors all had a stake in how, and how fast, 25+ locations got touched.

02Action

Built a phased, site-specific rollout with pre-shipped deployment kits and full chain-of-custody documentation on every disposed device.

1
A phased rollout plan with site-specific timelines, tracked in a centralized project tracker so no location's schedule quietly slipped.
2
SOWs developed and Legal-reviewed for every vendor engagement, with payments tied to milestone completion.
3
Deployment kits shipped ahead of technician visits, with full chain-of-custody and disposal documentation maintained for audit readiness.
03Challenge

Three different problems, at the same time, across offices that don't run on the same clock.

  • Coordinating concurrent installations across 25+ geographically dispersed offices: technician availability, local hours, and blackout periods
  • Meeting strict data-wipe compliance standards (NIST 800-88, GDPR, CCPA) during legacy device disposal
  • Aligning expectations across IT, Finance, Procurement, Facilities, and third-party vendors

90-second breakdown of this rollout: coming soon

The real win wasn't the hardware, it was the paper trail. Every device that came out of service left with proof it was wiped and disposed of correctly, across 25+ locations, without a single audit gap.
